Executive Office Assistant

We are looking for a Charleston based Executive Office Assistant to join our fast-paced team. In this role, you will be working directly with the CEO and president to coordinate their schedules, travel arrangements, and maintain general office duties. Additionally, you will serve as the liaison/gatekeeper between the executives and the employees. This role will report to the Director of Operations. The candidate should have exceptional organizational and communication skills, professionalism and willingness to learn.


Responsibilities include but are not limited to:

  • Manage the calendar of the CEO and President
  • Actively “clean up” the CEO/President’s schedule to keep days from becoming overbooked
  • Keep President & CEO on track, i.e. making sure they’re on time and where the need to be at all times
  • Confirm appointments with all external parties at the time of scheduling as well as the day before they take place
  • Assist with CEO scheduling when needed
  • Act as a liaison/gatekeeper between the executives and the employees
  • Making sure reservations are made in advance for business dinners/lunches where necessary
Travel Arrangements
  • Book all travel/accommodations for President and CEO as needed
  • Book travel/accommodations for clients coming to town as needed
General Office Duties
  • Assist the Director of Operations where needed
  • Miscellaneous tasks for CEO, i.e. deck creation, personal website and blog management, etc.
  • Maintain a tidy and well stocked office space
  • Greet guests/vendors/walk-ins as they arrive
  • Making reservations for business outings
  • Handling lunch for executives and VIP meetings at the office as needed
  • Miscellaneous errand running as needed
  • Occasional personal work/errands for CEO


  • In-depth understanding of entire MS Office suite
  • Ability to organize a daily workload by priorities
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • A proactive approach to problem-solving with strong decision-making skills
  • Professional level verbal and written communications skills
